Ministry Assistant to Pastor, Greater Cooper AME Zion Church, Oakland CA

Position Title: Ministry Assistant to the Pastor

Position Category: Secretarial/Office

Accountable/Reports To: Office of the Pastor

Position Status/Type: Part-time/Volunteer

Compensation: $750/mo.

Position Summary: The primary function of this position is to directly support the office of the Pastor. The Assistant is responsible for providing administrative and ministry support to ensure that the successful performance of the duties, responsibilities & obligations of the Pastor are consistently accomplished.

Position Responsibilities and Duties

  • Maintains the pastor’s appointment calendar and schedule updates
  • Drafts/Reviews pastor’s correspondence, reports, minutes, and sermons; maintain office files/documents
  • Prepares worship service information (i.e. order of service, sermon illustrations, etc.) on a weekly basis
  • Represents the pastor in dealing with congregational members, other churches and the community at large, as required
  • Assists with meeting preparation
  • Arranges transportation, hotel accommodations and overall hospitality for guest speakers of the church
  • Provides backup support to church office administrative tasks as needed
  • Performs additional tasks & responsibilities as assigned by the Pastor

  • A commitment to confidentiality in all situations
  • Clear and concise written and verbal communication skills; Ability to apply grammar and usage standards of the English language
  • Self-starter and detail-oriented
  • Strong organizational skills with the ability to multi-task in order to meet established deadlines
  • Must demonstrate a proficiency in MS Word, Excel, PowerPoint, Outlook, database systems & use of the Internet
  • Must possess a working knowledge of standard office equipment (i.e. copiers, fax machines, computers)

Additional Requirements/Expectations

  • Previous experience supporting a senior level role, preferred
  • High school diploma or equivalent; some college coursework, preferred
  • Possess efficient, caring and discerning telephone skills
  • Great public speaking skills and the ability to facilitate group presentations
  • Project management and strategic planning skills, preferred
